Accession Procedures

  • WHEN...  Numbers are assigned at the greenhouse when plants arrive or when entered into propagation (as seeds, rhizomes, etc.)

  • WHO...  While anyone may enter information, numbers are assigned only by greenhouse staff (unless specific arrangements are made). Blocks of numbers will not be given out in advance.

  • DATA...  The minimum data to be entered with new numbers includes:
    specimen name (if known)
    donor and donor number (if known)
    date of receipt of plant
    type of propagule received
    curator in charge
    pot level inventory (number, type, size, and location of pots)
    This data is important for unique identification of the specimen, other than the greenhouse accession number.

  • PRE-EXISTING DATA...  If the specimen has existing data in the standard SI-Botany format (e.g., for herbarium labels), Leslie can convert it to the greenhouse format. For this:
    • the data must be on the network server or available on diskette, and
    • the specific records must be flagged so they can be retrieved separately.
